Understanding Global Order Rules Library for Your Organization [Guide]

The Global Order Rules Library allows you to create a centralized set of rules at an Organization-level that can be assigned to multiple Accounts. This feature is designed to streamline operations, reduce manual labor, and minimize errors by managing rules as single, reusable entities.

 

NOTE: Currently, only Sales Order Rules can be managed at an Organization-level.

I. CORE CONCEPTS



i. Execution Priority


techOMS processes rules in two levels: it evaluates and executes all applicable Organization-level rules first, followed by Account-level rules.


Within each level, a lower priority number means a higher priority for evaluation and execution (e.g., 1 is the highest priority).


For example, if you have:

  • Organization-level rule A, with priority 2
  • Organization-level rule B, with priority 3
  • Account-level rule C, with priority 1
  • Account-level rule D, with priority 2

Assuming all rules are enabled and applicable to the indicated Account, the rule evaluation order will be: A, B, C, D.

ii. Assignment (Scope)


A global rule will only apply to an Account if it has been explicitly assigned to it.


You can assign a rule to specific Accounts or to all current and future Accounts within the Organization. Changes made to a global rule are immediately reflected across all Accounts it is assigned to.


iii. License Requirements


Global Sales Order Rules can only be applied to Accounts with a Standard subscription.

iv. Visibility


At the Account level, users can see the global rules assigned to them in a read-only mode. Only enabled global rules are visible on this list.

i. Basic Operations


The following table summarizes the Global Rule lifecycle and lists the basic operations you can perform. The Guide column links to the corresponding articles:

CreateGlobal rules are created from the Organizations settings menu.
EditAfter an Organization-level rule is created, you must configure its behavior, scope, and steps.
Enable/DisableYou can temporarily pause a rule by disabling it or resume its function by enabling it. Upon creation, all rules are disabled by default.
DeleteIf a rule is no longer needed, you can delete it permanently. This action cannot be undone.


ii. Rule Migration


You can efficiently promote an existing Account-level rule to the Organization-level (or vice versa) using the Import/Export features. This is ideal for standardizing a proven workflow across multiple Accounts.

 

  WARNING: When importing a rule to change its level, make sure all steps are compatible with the target level. Otherwise, unexpected behavior may occur. For details, see: Rules Conditions and Actions Guide [Information].

III. LIMITATIONS AND BEST PRACTICES



To ensure your global rules function as expected, please keep the following in mind:


  • Use Compatible Steps
    Some rule conditions and actions are only designed to work at the Account level. Always verify compatible steps and their configuration for Organization-level rules by referring to: Rules Conditions and Actions Guide [Information].
     
      WARNING: Using unsupported actions or conditions (such as those with parameters marked as (account level only)) in an Organization-level rule may cause it to fail or result in unexpected behavior.

     

  • Review Before Saving
    Always double-check your configuration and Account assignments before saving, as changes to global rules can have a wide-ranging impact.
