Additional configuration for Return Labels through UPS Mail Innovations (MI) [Information]

Modified on Tue, 14 Jan at 4:35 PM

When setting up a UPS Mail Innovations account for Return Labels, there are additional elements you need to take into account compared to a regular Return label setup.

This article is supplementary to the regular setup detailed in the UPS Billing Account Setup article and it considers that the account has already been set up and created for regular shipments.

There are four main points addressed in this article:

  • Configure the Billing Account Returns Section

  • Set Up the Proper Package Type
  • Configure the Cost Center for UPS MI
  • Set the Service Level to UPS MI Returns

Where, and orderly:

  • The UPS Mail Innovations returns payment method must be set
  • The supported Package type must be configured
  • The UPS Mail Innovations Cost Center 1000 must be set
  • The Service Level to process the order must be selected or preconfigured

All these are instrumental to the proper functioning of On Demand return label generation as described in 15 - How to print Return Labels [Step-by-Step guide] under Printing Return Labels On Demand.

Also, the approach could be to:

  • Have a single account which supports Mail Innovations returns together with a regular functional shipping setup

WARNING: The Single Account model for Mail Innovations returns is strongly discouraged, since it might require constant manual updates on orders and profiles. We recommend the Alternative Billing Account model as detailed below.

Make sure you verify the details below accordingly, after accessing the Billing Account:

1. Access Clients under the Maintenance menu

2. Click on the client related to the order

3. Edit the Billing Account related to the case

4. Switch to the Carrier Options tab

CONFIGURE THE BILLING ACCOUNT RETURNS SECTION

The Billing Account Returns section must be correctly configured. This includes providing the following details in the Carrier Options tab:

  • Return Bill Shipper Account #: Complete with the prepaid billing account number
  • Return bill postal: Complete with the account’s postal code as registered with UPS MI
  • Return bill country: Select the country associated with the billing account

NOTE: If an authorized 3rd Party account will pay instead of your prepaid account, complete the Third Party Account # as well

SET UP THE PROPER PACKAGE TYPE

UPS MI only supports the Customer Supplied Package type. This must be configured at the Billing Account level in the Carrier Options tab.

Select Customer Supplied Package as the default Package Type for this account:

This ensures that the shipments complies with UPS MI’s packaging requirements.

CONFIGURE THE COST CENTER FOR UPS MI

UPS MI uses a specific Cost Center for Returns. For proper functionality, configure the Cost Center assigning 1000 as the Cost Center value.

SET THE SERVICE LEVEL TO UPS MI RETURNS

The Service Level must be configured to Mail Innovations Returns to make sure returns are processed correctly. This can be set up in two ways:

A) At the Batch Level (impacts individual order)

When creating a new batch, select Mail Innovations Returns as the Service Level and Save before you Process and Print:

B) At the Billing Account Level (impacts all orders processed under the Billing Account)

WARNING: Do NOT apply this part of the solution if you are using the Single account model. This option is safe to use for Dedicated Return Billing Accounts ONLY

To streamline operations and have the UPS MI accepted Service Level for returns:

  • Select and set Mail Innovations Returns as the default Service Code from the Service Code dropdown
  • Check Override WMS Service Code to ensure this service is used for all orders processed through the Billing account, regardless of what the order might have had preloaded as Service Level

Once ready, press Save to apply the changes.

If the rest of the order and billing account information is correct, you will be able to generate return labels as you Process or Process and Print.
