techOMS Go Live recommended settings [Information]

Modified on Mon, 20 Jan at 3:38 PM

As you go live with your techOMS portal it is important to take into account checking several configuration points and parameters in order to have a smooth and efficient launch, according to your operative needs.

This article reviews these points and how these should be checked and/or set, in the following distinctive sections:

  • Automatic Workflow Settings
  • Manual Synchronization Tests
  • Configuring Recurring Jobs
  • Integrated Flow Live Settings

AUTOMATIC WORKFLOW SETTINGS

Automatic live setting workflows are enabled through the Main settings tab, and are related to Recurring Jobs.

Make sure these are properly set up and adjusted to the operational results you expect.

Review these examples and adjust accordingly:

1. Click Account under System Settings

2. Make sure you are operating under the Main tab

3. Under Workflow Settings, verify:

  • Enable Automatic Sales Order Workflow: By default, set to Yes; this allows bringing orders into techOMS from your Sales Channels
  • Enable Automatic Purchase Order Workflow: If set to Yes, this allows bringing orders into techOMS from your Sales Channels
  • Enable Inventory real-time updates (available to the System Administrator only): If set to Yes, this will update the inventory in the Sales Channels
  • Allow Partial Fulfillment: Enables shipping orders in stages, updating order status based on configuration. For details, see How Does Partial Fulfillment/Receiving Work [Information].
  • Allow Partial Receiving: Enables receiving purchase orders in stages, with order status updates dependent on settings. For details, see How Does Partial Fulfillment/Receiving Work [Information].

MANUAL SYNCHRONIZATION TEST

Before Recurring Jobs are enabled, perform a Manual Order Import to confirm the connection and data transfer is properly working.

WARNING: Automatic Sales Order Workflow must be enabled and set to Yes to perform this test.

To do so:

1. Access Channels under Sales Channels

2. Select Receive Sales Orders from Channel and Confirm the action

3. Access Sales Orders under Sales and verify the orders have been imported

CONFIGURING RECURRING JOBS

Recurring Jobs allow to configure automation and update time thresholds for different channels. The steps to follow are detailed in How to configure Automated Recurring Jobs for Sales/Fulfillment channels [Step-by-step guide], and the details to considered are below:

RECURRING JOB
DESCRIPTION
RECOMMENDED VALUE
Receive Inventory from Warehouse
Receive Inventory from the Warehouse, and how often you expect to receive it
Synchronize every 24 hours
Send Inventory to Shop
(Shopify only) Updates the inventory in the Sales Channel
N/A
Receive Shipments from Warehouse
Receive Shipments from the Warehouse, and how often you expect to receive them
Synchronize every 1 hour
Receive Receipts from Warehouse
Receive Receipts from the Warehouse, and how often you expect to receive them
Synchronize every 1 hour
Receive Sales Orders from Shop
Receive Sales Orders from the Sales Channel, and how often you expect to receive them
Synchronize every 1 hour
For Shopify you can either receive the Sales Orders by enabling these settings, or by setting up Webhooks in the Sales Channel (one or the other)

While officially defined in the Step-by-Step guide, also take into account how you will use the Period and Shift parameters, considering:

  • Period: Will determine how often you will perform the operation
  • Shift: It is recommended leaving it as None unless it is common for customers to change/update their orders, since having a specific shift will delay orders, opening a time window to handle these changes

INTEGRATED FLOW LIVE SETTINGS

If you have Integrated Flow integrations, you need to set the Channels endpoint in Production Mode when going live. The instructions below apply to both Sales and Fulfillment Channels, but must be done separately:

1. Access Channels under Fulfillment Channels and Sales Channels

2. Click on the Integrated Flow Channel name to access it

3. Switch to the Integrations tab and the WMS Credentials section

4. Switch the Environment value from DEV to PROD

5. Press Save to apply the changes

6. Repeat the process for as many Integrated Flow Fulfillment and Sales Channels connections you have and need to switch to Production mode.

Once ready, consider any additional elements specific to your implementation, taking these configuration parameters as a base.
