How to Manually Create a Sales Order [Step-by-step guide]

You can manually create Sales Orders in techOMS. This allows you to manage them directly—such as applying specific actions, fulfilling them, and generating shipments. Follow this guide for a step-by-step procedure.

 

NOTE: For escalation or automation purposes, you may prefer to create Sales Orders through the API. For details, refer to Getting started using techOMS API [Information].

 

NOTE: Make sure that you are operating at the right Vendor/Warehouse beforehand.

 

To manually create a Sales Order:


1. Click Sales Orders from the left menu under the Sales section.


2. Press Create.



3. Complete the main order properties:

  • Order Number: Order ID preassigned by techOMS. Modify this field if needed.
  • Date: Click the calendar icon to enter the order's date.
  • Requested Warehouse / Carrier / Service: Select these only if needed.

 

NOTE: The following fields are read-only during order creation. They may be modified manually or automatically by techOMS as actions are performed:
  • Status: Preassigned as Draft; can be updated manually or by techOMS.
  • Channel: Preassigned depending on the used channel.
  • Source: Indicates the source of the order.
  • Last Action: Shows the last recorded action for the order. Press the three-dot icon to open its details.

 

4. Check Show Details and complete the fields:

  • Ship To: Click the pencil icon to enter shipping information.
     
    NOTE: This opens a pop-up to fill in the address and contact details. You can click Select Customer to prefill the information using saved customer data (as-is or as a template).


    This opens a nested pop-up. Select the desired customer and press Select.

  • Reference / PO Number
  • Use Ship To Address: Check to copy the Ship To value into the Bill To field.
  • Bill To: Click the pencil icon to enter billing information.
     
    NOTE: This opens a pop-up to enter address and contact details. If Use Ship To Address is checked, you can still adjust the billing fields as needed.


     

  • Currency
  • Ship Date/After: Click the calendar icon to enter its details.
  • Delivery By/After: Click the calendar icon to enter its details.
  • Cancel After: Click the calendar icon to enter its details.
  • Carrier Account: Click the pencil icon to enter carrier account details.
     
    NOTE: This opens a pop-up to fill in payment terms, account number, etc.


     

  • Notes: Add any relevant notes.
  • Tags: Type each tag and press Enter.

 

NOTE: The following fields are read-only during order creation and are automatically updated by techOMS:

 

5. Press Add to include an order line. Enter its details and repeat as needed.


This opens a pop-up with line details:

  • Line: Line number.
  • Product Variant: Start typing to search and select the desired variant.
  • Quantity: Number of SKUs.
  • Price: Unit price.
  • Discount: Total discount amount (not a percentage).

 

NOTE: The SKU field is auto-filled based on the selected product variant.

 

6. Process the order by pressing:

  • Save: Saves the order in Draft status.
  • Actions: Opens options to:
    • Approve: Approves the order and unlocks Allocate & Fulfill.
    • Cancel: Saves the order in Cancelled status.
  • Clone: Duplicates the order and opens it in a new tab.



The order is now saved and, if applicable, processed as requested.
